MEMBERSHIP POLICY

 

As a member, you agree to read and follow all guidance and advice provided with regard to any activity, walk, lecture or event.

It is then incumbent upon you to carefully assess your capability to take part in the light of all the information that is provided. You should always err on the side of caution especially since any negative repercussion could impinge not only upon yourself but also on the enjoyment of others. In case of any doubt you should consult the organiser.  Participation is undertaken entirely at your own risk.

 

PRIVACY 

U3A International is an Association formally registered with the Junta de Andalucia. For purposes of this Privacy Notice it is the data controller for any personal data you provide. The privacy and security of your personal information is extremely important to us. This policy explains how and why we use your personal data, to ensure you stay informed and continue to be confident about giving us your information.  We respect your trust in us to use, store and share the information you have provided to us. U3A International is committed to ensuring your privacy is protected.

Lawfulness, Fairness, Transparency and Purpose Limitation

U3A International has adopted the following principles relating to the processing of personal data. Such data shall be processed lawfully, fairly and in a transparent manner. It will be collected for specified, explicit and legitimate purposes and not further processed in a manner that is incompatible with these purposes.

How We Collect Information About You.

You give us your personal data when you initially join or subsequently when you advise the membership secretary of any change to the initial information provided. You may on a rare occasion be asked by a committee member or group leader if you will consent to the publication on our website of a photograph in which you appear. The photograph will not be published if you do not grant your permission.

Consent

When you complete your application form for membership online you give your consent that U3A International, in using your data, will:

Store it securely and use it for membership purposes.
Use it to communicate with you as a member of U3A International in a very protected way.

You are not consenting to the use of Whatsapp or other social media platforms.

You continue to give your consent when you accept receipt of emails and when you pay your membership fee each year.

How We Use Your Information

We use the information you provide to:

·      manage the association in accordance with the legal constitution

·      assist in collecting membership fees  

·      maintain accounts by showing we have collected fees legitimately

·      record your participation in an activity, lecture, event or walk

·      contact you, including sending renewal information by email

·      contact you by email via the issue of internal newsletters

·      contact you by telephone on organisational matters

·      enable you to make reservations for lectures, events and walks

·      advise you of changes or cancellations relating to you

How We Keep Your Information Safe

We protect your information with security measures required by GDPR. Our files are held securely using SSL software on servers managed by a GDPR compliant provider based in the Netherlands in Europe. The data is then able to be accessed for management purposes by key personnel in U3A International via a security process.

Organisers, activity leaders and managers within U3A International have access to certain personal information only in relation to the details of members in their particular area of involvement. They are obliged to take reasonable precaution to keep this information secure and confidential. In particular care is taken by them not to disclose the information to unauthorised parties , intentionally or otherwise, and to ensure that any information received or gathered is destroyed once the purpose for which it was provided is fulfilled.

Retention Of Your Data

We hold your information as long as you remain a member of U3A International and thereafter, as long as is necessary according to our legal statutory obligations. This information will be deleted from our files as soon as we have discharged those obligations.

Your Information And Third Parties

We share only the information you have given us with our service providers who process such information for us or on our behalf for all the same purposes as mentioned previously. A service provider might be, for instance, one which distributes mail on our behalf. These providers are essential requirements for operating the association. The information you have given us will not be available to any other third party without your express permission.

Your Data Protection Rights

You can exercise your rights by sending an email to [email protected] or by contacting an officer of the association either at any Friday coffee morning and help desk in the Hapimag Hotel in Marbella or at any Saturday coffee morning and help desk in Alhaurin el Grande. You always have the right to know what information we hold.

  • Access to Personal Data

The data we hold about you can be accessed any time either:

  • Updating and Correcting personal data

The data we hold about you shall be accurate and where necessary kept up to date. Every reasonable step will be taken to ensure that data which is inaccurate or incomplete is erased or corrected. You may at any time ask the Association to correct, remove or cease processing information if you are of the opinion that such information is inaccurate either:

Removing Consent:

  • Removing Consent

You may at any time remove your consent to the Privacy Statement. This will result in the cessation of your membership of U3A International.

  • Deleting your Information

You may at any time ask us to delete your personal information. This will effectively result in the cessation of your membership of U3A International.  You may request that any contact details be removed or you may simply unsubscribe from mail but, of course, that would impose limitations on our ability to contact you or send you mail.

  • Making a complaint

Should a situation arise where you feel the need to complain about how the association processes or retains your data, please contact an officer of the association as soon as possible, or send an email to [email protected] giving us the opportunity to put things right.  We ask that you supply as much information as you can to enable us to resolve the complaint quickly.
